Staff Council Communications Committee Meeting

February 12, 2004

I. Newsletter

A. Deadline - April 1, 2004

B. Send out notice to Communications Committee members to get one story (sentence or paragraph) each on how things have changed at UGA

C. Include Staff Awards

D. Include info on seating SRG officers at June's Staff Council meeting. Do you know who your SRG rep is?

II. Staff Council Website Updates

A. Dreamweaver, Fireworks, & Front Page software is needed to update – Bob Rataczjak will request the money from the Staff Council treasury at the next Executive Council meeting.

B. Bob's draft changes were approved

III. New Employee Orientation

A. Request of Andy Brantley that a link to Staff Council be added to the new employee orientation web site

IV. Adding more representatives (all SC members?) to the University Council

A. Discuss at next Staff Council meeting

B. Brenda Keen to send email to SC reps

V. SRG

A. Discuss apathy and how to get SRGs more active

VI. Committee Meeting Attendance

A. Discuss what consequences can come of not attending meetings

VII. Need a volunteer to be Secretary for Staff Council

Staff Council Communications Committee Meeting

March 25, 2004

The Communications Committee met by email on March 25, 2004. Bonnie Norwood, Brenda Keen, Bob Ratajczak, and Elizabeth Pape participated.

I. Staff Voice

A. Articles for the Staff Voice newsletter were submitted to Elizabeth for the April 1 st deadline - I am waiting to hear from her about posting it on the Staff Council web site

B. It was decided that the newsletter should be put out twice a year - the last newsletter was in 2002

II. Staff Statement

A. Bonnie suggested that, since Faculty and students have been very vocal about issues and scandals recently at the University and Faculty have taken a vote of no confidence, staff should be polled to see if they would like a formal statement issued from Staff Council on their behalf - two votes for and two votes against

B. I propose that the Communications Committee create a draft poll to send out to all UGA employees to find out what they think about things and how they would like to see them handled by Staff Council

III. Old Business

A. At the last Staff Council meeting, the Communications Committee suggested that we request a link to the Staff Council web page be added to the new employee orientation site by Human Resources - do they have a new rep yet or who do we request this from?

April 29, 2004

I. Newsletter

A. Proofed for revisions and revisions have now been made

B. Publication

(1) Bonnie has asked Elizabeth to publish the newsletter to the web site (without the letter for President Adams, which was not received) and is going to request from Provost Mace that this “retrospective look at UGA” newsletter be sent out through the UGA official announcements listserv

(2) Will be published in May and November

(3) Want to include a list of classified staff by years of service in next newsletter in increments of 5 (5, 10, 15)

II. Staff Council Website

A. Bob Ratajczak will be making updates only for right now and he will reorganize the site in about six weeks

III. Poll regarding Staff Council

A. Would like to do a poll of UGA staff regarding their knowledge of Staff Council and their recommendations on how to improve communication between staff and Staff Council

B. Email sample questions to Bonnie at (i.e., Have you heard of Staff Council, What is your perception of Staff Council, etc.). Bonnie will compile the sample questions for the Communications Committee to pare down and then submit to Staff Council for approval

IV. Link to Staff Council from New Employee Orientation Site

A. Bonnie emailed Opal Haley regarding adding a link to Staff Council from the New Employee Orientation site. Becky Lane responded on Opal's behalf that there is a link to Staff Council under Summary of Benefits, then click on Other Services & Activities. The Communications Committee agreed that we would like to have the link more prominent. Need to determine where and then make request from Human Resources to move there.

Becky also suggested creating flyers to place in the Employment Office and for those who do attend face-to-face orientations

V. Listserv Administration

Since Elizabeth Pape has retired and will be returning in a part-time capacity, Brenda Keen suggested that the Staff Council Coordinator and the Chair of the Communications Committee should be the administrators for the listservs. This would need to be approved by Staff Council.
